Manage Horizon Users

Created by Celia Johnston, Modified on Fri, Aug 21 at 3:18 PM by Celia Johnston

Learn how to add, invite, and manage users in Horizon.

A user is someone who manages or administers Horizon on behalf of your organization, such as an HR or compliance team member who logs in to review compliance data, resolve violations, or configure the platform. This is different from a workforce member, who is monitored through Horizon but does not have platform access. To add a workforce member instead, see Add a Workforce Member.

Assign or Update a User's Role

Roles determine what each user can view, edit, and manage within Horizon.

1. Navigate to Settings.

2. Click Users.

3. Find the user in the list.

4. Click the menu icon (⋮) next to their name.

5. Select Assign Roles.

6. Update the role as needed.

7. Click Update Roles.

Note: Roles are configured by the Trustii team based on your organization's operational and compliance requirements. If you need a new role created or existing permissions adjusted, contact your Customer Success Manager or the Trustii Support team.

Deactivate a User

If a user no longer needs access to Horizon, for example, because they've changed roles or left the organization, deactivate their account promptly to maintain secure access control.

1. Navigate to Settings.

2. Click Users.

3. Find the user in the list.

4. Click the menu icon (⋮) next to their name.

5. Select Deactivate.

6. Confirm the action by clicking Deactivate.

Best practice: Remove access as soon as a user changes roles or leaves the organization. Limiting platform access to active users helps protect sensitive compliance data.

Reactivate a User

If a user returns from leave or requires access again:

1. Navigate to Settings.

2. Click Users.

3. Change the status filter from Active to Inactive, or select All.

4. Find the user in the list.

5. Click the menu icon (⋮) next to their name.

6. Select Activate.

Best practice: Remove access as soon as a user changes roles or leaves the organization. Limiting platform access to active users helps protect sensitive compliance data.
